Workday is a modern platform for student information, including course management and registration, transcripts, and student records. Workday has been utilized at Colby for Human Resources and Finance information management since 2020; starting in April 2025, Workday is also used for Student information.
Workday improves self-service processes, is available from a web browser or the Workday app, and is continuously evolving to best meet Colby’s needs. Students, faculty, and staff use Workday for various academic and administrative activities.
Getting to Workday
Colby’s Workday system can be bookmarked directly, or can be accessed through several spaces at Colby, such as Okta, or myColby. Regardless of where you access the Workday link from, you will be routed through Okta multi-factor authentication (MFA) in order to sign into Workday.

Colby’s Workday Student Resources site contains step-by-step how-to Guides, FAQs, and Videos to assist users in utilizing Workday Student to accomplish their goals. This site will be updated as new functionality is added to Workday in a dynamic manner. The site can be accessed at https://web.colby.edu/workdaystudent/resources.
Access to Information in Workday
Security Permissions determine what each user can see and do in Workday. For example, information related to a student’s academic record is limited to certain roles, such as the student’s advisor(s). Similarly, a report like MY ADVISEES will only be present on your screen in Workday if you are assigned advisees in Workday.
Student Experience
Workday provides a streamlined system for Colby students to engage with throughout their academic career, enabling students to complete tasks such as the ones below in convenient, mobile-friendly ways:
- Exploring Colby's course offerings and building SAVED SCHEDULES in preparation for registration
- Planning and registering for classes (add/drop/swap classes)
- Viewing student account information, financial statements, and making payments (starting summer 2025)
- Updating name pronunciation, pronouns, profile picture, and contact info
- Reviewing Friends & Family contacts and designating Emergency Contacts
- Granting parent permissions for select Friends & Family members
- Viewing grades and advising information
- Tracking academic progress & requesting transcripts (starting Fall 2025)

Faculty Experience
For faculty, some of the most common Workday Student features include:
- Viewing/finding course schedules and information (accessing course rosters and checking enrollment)
- Viewing advisee information
- Reviewing prerequisite and academic requirement override requests
- Submitting (and viewing) final grades in Workday

Staff Experience
Staff, depending on their roles at the College, will use Workday for the following activities:
- Viewing student information
- Viewing academic information, such as courses, course schedules, and academic requirements
- Providing billing support to students and families
- Managing course offerings and registrations
Workday integrates features previously found in older systems at Colby into a modernized, mobile-friendly, and sustainable system to meet the current and future needs of Colby College students, faculty, and staff.
