Managing Kaltura Media Retention

Unused media entries in Kaltura are required to stay active; otherwise they are subject to deletion rules:

  • Media not played in the last 4 years will have playback disabled.
  • Media not played in the last 7 years will be permanently deleted.

This applies to any audio, video, quizzes, course recordings, or other media content stored in Kaltura. Owners of media entries will receive automatic notifications from Kaltura, sent from notifications@kaltura.com, when an entry is due to reach one of these cut-off points. The email will state something similar to:

"To prevent your media from becoming inaccessible, please play each entry for at least 10 seconds within the next 30 days. Doing so will reset its retention policy to 4 years from the playback date. If no action is taken, the media will become unplayable and will require a manual restoration request through ITS.

This is an opportunity to review your Kaltura content. At the bottom of the email, there will be at least one link which will show your entry within the Colby Video Portal. For each link, please do the following:

  1. Click on the link and log in if prompted.
  2. To keep the video, play it for at least 10 seconds.
  3. To delete the video, click on Actions > Delete.
